Our client is looking for a full time PA to work in their small but busy private family / art dealer’s office in Chelsea. This is a brilliant role for someone who wants to expand on their knowledge of the inner workings of the industry, is organised, pro-active and thrives in such an environment. The job specification is based on but not limited to the following duties.
PA
- All PA duties – both professional and private
- Worldwide travel arrangements (liaise with travel agent and manage, not book)
- Support with networking events and parties
OFFICE MANAGER/ADMINISTRATOR
- Being the first point of contact for anyone contacting the company. This includes filtering all correspondence sent to the general e-mail address, answering the telephones and opening the post.
- Greeting clients, offering them tea and coffee.
- Presenting a friendly and positive image of the company.
- Overseeing all computers and liaising with our IT specialist when required.
- Maintaining all office technical equipment (Scanners, telephones, iPad, cameras etc).
- Good Computer and IT knowledge.
- Computer literacy: MS Outlook, Word, Xcel, Art Logic, Artnet
- Arranging Delivery & Collection of works of art in UK for consignment/restoration/framing. Sometimes you will be required to deliver smaller works by hand. Understanding importation VAT, margin VAT, TA status and ARR.
- Stock: cataloguing new works, Artnet searches, ALR certificates, monitoring auction catalogues, arranging condition reports, extensive record keeping (Insurance documents, shipping documents, sales records etc). Updating log stock and contact databases.
- Gallery management
- Managing invoices and accounts payable
- Handling and moving artworks within the building
- Overseeing Building maintenance
- Monitoring stationery/sundry supplies
Desirable skills / attributes:
- Good written English, ability to write copy and take dictation
- Numerate, understanding of simple accounting, especially for VAT purposes
- Common Sense
- Flexible approach
- Organised and efficient, with an attention to detail
- Strong communication skills both verbally and writing
- Articulate, well presented and personable
- Knowledge of the contemporary art market
- Good initiative and self-motivated
- French speaking a bonus but not necessary

Salary: £30-35k DOE
Hours: 10.00am – 6.00pm, Monday – Friday plus 20 days holiday & statutory holidays
