Purpose of the role:

To assist in day-to-day activities, by providing effective administrative and office support.

Responsibilities:

Supporting the day-to-day business operations of this director’s office, including:

  • Dealing with post, telephone calls, routine communication, cabs and couriers
  • Undertake research and/or collation of documents and presentations as directed
  • Maintain an effective filing system 
  • Handling confidential information and exercising a high degree of discretion 
  • Travel arrangements and hospitality (e.g. sourcing tickets for sporting events) 
  • Arranging aspects of his personal life, e.g. holiday home, school fees etc. 
  • Expenses, correspondence and general personal assistant duties 

Measures of success:

  • Completion of tasks on a ‘same day’ basis, unless other timescales or lower priority agreed 
  • Letters and documents are accurate and comply with company standards
  • Clients and colleagues treated in a professional, helpful and friendly manner at all times
  • Calls/meetings followed up efficiently, queries dealt with promptly and courteously
  • Observes strict compliance protecting confidential, sensitive information and materials 
  • Filing maintained up to date and correctly coded 
  • Couriers and emails processed correctly and efficiently

Required skill set:

  • Strong communication and interpersonal skills
  • Highly organised at all times
  • Discretion and sensitivity around confidential information
  • Team player, willing to roll up sleeves and do whatever is required
  • Computer literate, strong competence in Microsoft Office
  • Capable and confident – both in conduct and communication
  • Positive and enthusiastic personality, representing a positive image of the business at all times
  • A minimum of 4 years in a similar role

Contract: 12 months, full-time 

*** It is originally a Maternity Cover role that will become a permanent role in a different department once the person returns from mat leave
