Our client is looking for a practical art professional, who is comfortable with numbers and finance, with experience of exhibition management, working directly with artists, and great experience and knowledge across all aspects of working in a gallery.

Exhibitions Management

  • Overarching management of exhibitions: Ensure all staff are briefed on forthcoming exhibitions, build timeline for all exhibitions of necessary actions, and manage / work with registrar, artist liaisons and assistants to ensure shipping, photography, previews, events, social media plan, CVs, website and all other elements of exhibition are in order.  Step in and action where necessary.
  • Run weekly meetings to prepare for two forthcoming exhibitions and any forthcoming fairs.
  • Work with registrar and Artist Liaisons to ensure that all artwork entries to ArtLogic are up to date, correct and fully filled out. Add new works to inventory when instructed by ALs.

Operations and Finance

  • Weekly recording of sales and commissions on gallery register
  • Uploading Sales invoices and Arranging payment of all invoices to gallery using Dext
  • Drawing up artist commission self-billing invoices
  • Acting as point of contact for all financial queries
  • Detailed collating and recording of spends for shows and fairs
  • Manage staff budgets
  • Maintaining all financial records on ArtLogic and on internal server
  • Managing staff credit card and expense claims
  • Collating artist annual sales reports
  • Organising and keeping on top of all gallery insurance values
  • Annual re-assessment of insurance values of all artworks and re-signing of premium contracts.
  • Oversight of Anti Money Laundering by sales assistants using Arcarta.
  • Oversee projects such as storage / website / building work if applicable in time frame.
  • Assist registrar with operational over spill where necessary
  • Regular checks of gallery space for any repairs / neatening and instruct relevant team member to action. Action where necessary.
  • Manage and record all staff holiday.
  • Assist registrar with temp staff hire and invoices.
  • Oversee building management – management of staff who action these tasks, ensure all tasks are being kept on top of, step in and action where necessary.
  • Oversee updating of website, step in to update when necessary.

Artist Liaison

  • Liaison and support for approximately 6 gallery artists, subject to change.
  • Manage budgets for artist production/fabrication and exhibitions
  • Review and produce streamlined and clear artist accounts
  • Communicate with each artist regularly, providing value-added “client service” for each artist
  • Maximise opportunities for works to be consigned from artists for sale by the gallery, working in conjunction with Sales director
  • Communicate latest information on exhibition schedules and provide inventory update including new works available or consigned to other galleries by each artist to all staff
  • Help artists to seek funding for major projects
  • Ensure inventory database is updated with new works and ensuring new works are catalogued & photographed
  • Responsible for ensuring that internal archive and catalogue raisonneìe of the artists in your charge are satisfactorily maintained.
  • CVs of each artist are the AL’s responsibility, both website and digital copies, as well as news and press items for the website for individual artists
  • Travelling when required, to represent the gallery at key events such as fairs and artist’s exhibition openings
  • Work with exhibition manager on artist exhibitions

Essential attributes: 

  • Commercial gallery experience
  • Experience with finance / book keeping
  • Database experience
  • Project/exhibition management experience
  • Experience of working directly with artists.

Very desirable but not essential: 

  • Knowledge of ArtLogic, Dext, Xero, Anti Money Laundering
  • Tax and shipping knowledge
  • Experience of production of artworks.

  • Detail oriented
  • Good at managing multiple projects at one time
  • Ability to manage own workload autonomously and manage other staff members

Salary: £45k – 50k DOE

Contract: The role would run from mid-late November to October 2025.
