Job Description

The Marketing & Communications Assistant, based in London, will play a key role in supporting the Gallery Marketing & Communications team. Under the guidance of the Director of Marketing & Communications, the candidate will assist in the day-to-day operations of the department across a range of areas including administrative organization, events management, social media and content creation, and press and media support.

Primary responsibilities include:

 Communications

  • Work with Communications team to collate materials for press links
  • Actively research, expand and maintain the gallery’s database of communications and marketing contacts
  • Manage press cuttings with Communications team and Front of House staff, ensuring high quality and all are added to the server/ artist press packs

Marketing & Client Development

  • Assist with setup of QR codes and guestbook for exhibitions and art fairs
  • Upload content to 3rd party commerce sites
  • Update Google listings for business closures / adjustments in hours
  • Draft copy and update website exhibition, news and Studio pages
  • Help ensure website assets are up to date, reflecting gallery key activities and liaising with Artist Managers to ensure the proper information is shared with MarComms team
  • Organise assets to support social media campaigns
  • Assist in data management and tracking in Salesforce to support Client Development projects and goals

Events

  • Create clash charts for events/ fairs by researching and inputting internal and external events
  • Manage third-party listings for event calendars
  • Organise invite creation and assets for events via Director and Design Manager
  • Take rsvps for events, logging in Salesforce and liaising with event manager to update on status
  • Support wider Marketing & Communications team at local opening receptions and events (set-up, breakdown, greeting, check-in, etc.)

Publications

  • Assist in managing mailouts of publications
  • Help to organise library and tidy book storage
  • Liase with Front of House staff about Bookshop sales and upload new titles to gallery website
  • Help source and clear licensing rights for publications
  • Create and help to maintain publication project timelines and relevant tracking documents with Publications team

Administration & Finance

  • Gather and upload department expenses to Concur accounting system, including vendor invoices, as well as credit card statements

Requirements:

  • Ideally communications + marketing experience in the arts or related creative industry
  • Incredibly organised and hardworking, with a proactive and positive attitude
  • Willing to be managed from New York, noting the time difference, and work closely with the MarComms team globally
  • Ability to work well with multiple teams, as well as independently
  • Willing to work outside of regular office hours (e.g. for global meetings, events, urgent enquiries)
  • Ability to independently manage time, prioritise workflow and meet deadlines
  • Outstanding written and verbal communications skills
  • Familiarity with Salesforce, Pardot or other CRM tools
  • Excellent digital capabilities (e.g., Photoshop, InDesign, social media)

Salary is £30-35k (commensurate with experience).
