Our Client is an international Commercial Art Gallery. With galleries in London, New York and Madrid, it is the only major art gallery to specialize in works of art from antiquity through to the modern era, offering its clients expert advice and service, and an exciting programme of exhibitions and events showcasing the finest Old Masters, Ancient and Modern works of art. They are looking for a self-motivated, driven and proactive Gallery Manager to work in their London gallery.

The Gallery Manager will be in charge of various activities in running the art gallery. The tasks of the Gallery Manager will range from general administration, developing client relationships, organizing, and supervising fairs and exhibitions.

Main Roles and Responsibilities

Gallery Management

  • Building management, including security, fire, air conditioning and IT system
  • Overseeing the cleaner and ensuring gallery is presentable at all times
  • Management and occasional assistance of receptionist/front of house staff
  • Ensuring a supply of office stationery and groceries are available
  • Consignment/loan agreements tracking to ensure that time limit are adhered to
  • Sales administration, supporting the sales staff from pre- to post- sales process,  liaising with clients and consignors
  • Ensuring relevant databases and shared systems are kept tidy and up to date
  • Ensuring the gallery space is kept to a high standard
  • Any other ad hoc tasks not listed above

Logistics

  • Liaising with shipping and customs agents locally and internationally at all stages
  • Ensuring all artwork movements are updated on database
  • Monitoring global storage locations
  • Budgeting from point of estimation and liaising with accounting team
  • Ensuring costs are kept at a minimum where possible
  • Ensuring all shipping documentation is received on time and archived
  • Ensuring that any HMRC guidelines are legally adhered to, including management  and filing of
  • Temporary Admission (TA) account
  • Conducting condition reports and reviewing third party condition reports
  • Liaising with restorers, framers, and other suppliers

Art Fairs and Exhibitions Organization

  • Coordinate stands design and installation
  • Exhibition lighting and layout assistance
  • Exhibition and fair layout visualization (SketchUp)
  • Overseeing external technicians, assisting with technical work and advising on the handling of artworks for off-site installations

Desirable Attributes, Skills and Experience

  • Degree educated in Art History or related field
  • 3-4 years’ experience in another art gallery
  • 4-5 years’ experience in international shipping, preferably related to the art sector
  • Excellent written and spoken English
  • Organized, strong attention to detail and multitasking ability
  • Initiative and ability to work to multiple deadlines
  • Excellent interpersonal and client facing skills
  • Proficiency in MS Office
  • Knowledge of Google Workplace and MS SharePoint
  • Knowledge of art databases like Artlogic
  • Experience in other systems like Trello (preferable)
