Our client is a leading international contemporary art gallery working directly with around 50 artists and artist’s estates, all of whom are represented by Museums worldwide.  As well as having a gallery in London with a continuous exhibition schedule, works are exhibited at around nine art fairs a year in the UK, Europe, South Korea, Hong Kong and across the USA.

The gallery has expanded year on year and, as a result, the decision has been made to create the new position of Finance Manager.  This position will be pivotal for the gallery and is suited to someone wishing to commit long term to being a vital part of a busy team.

This role will also involve line managing an Accounts Assistant (currently studying ACCA Level 2 outside of office hours).

Job Purpose:-

To have responsibility for the day-to-day financial function of the gallery, directly reporting to the Finance Director, and other directors as required, to help achieve the business objectives of the gallery. 

Activities / Responsibilities: –

  • Day-to-day point of contact for financial queries from all gallery staff, creditors, and debtors.
  • Responsible for VAT matters, including overseas tax returns (currently for Switzerland, Germany, New York, Chicago, and Florida). 
  • Assist shipping department with Import VAT reconciliations as necessary.
  • Address gallery specific regulatory changes and requirements and ensuring overall compliance.
  • Keep technically up to date and comply with any CPD requirements.
  • Responsible for day-to-day compliance with HMRC money laundering regulations.
  • Monthly reviewing of Xero and checking key control accounts to ensure quality of postings. 
  • Undertake line management of Accounts Assistant, including monitoring training and performance.
  • Approve bank payments in line with internal processes.
  • Carry out effective debtor and cash collection management.
  • Approve purchase invoices and confirm cost allocations.
  • Ensure expenditure is sensible and approved.
  • Review settlement creditor reconciliations and deal with any issues arising.
  • Main point of contact for auditors and accountants on year-end accounts and preparation of quarterly management accounts. 
  • Maximise Xero reporting to improve financial information presented to the Directors.
  • Review self-billing invoices and other artist settlements in line with individual requirements.
  • Responsible for handling supplier relationships and matters arising. 
  • Oversight of Art Logic database and all related financial matters (currently in development).  

Key Skills / Knowledge & Experience: –

  • Qualified accountant with at least 5 years’ post-qualification experience
  • Experience or knowledge of contemporary arts an advantage
  • Strong communication skills 
  • Strong technical competency across all bookkeeping, accountancy, and tax matters
  • High attention to detail
