Position overview:
As a member of the Front Desk Team, this role reports directly to the HR Manager. It provides a vital professional front desk experience for all gallery visitors and supports all staff across a wide range of administrative tasks. This role also offers the opportunity to take ownership of key areas of the gallery’s daily running and works closely with all colleagues in a number of departments.

General daily duties of the role include:
• Provide a professional experience for clients, visitors and staff
• Answering phones in an efficient and friendly manner, providing a high-quality message service
• Ensuring front desk and gallery areas are presentable and informative well in advance of Private Views, notifying appropriate staff if action needs to be taken to rectify issues
• Tracking and recording visitor numbers
• Ensuring press releases and exhibition lists are available for visitors
• Replying to general e-mails and visitor enquiries
• Organising couriers/FedEx/taxis where required
• Ensuring gallery stationery and business cards are fully stocked at all times
• Assist the with online sales platforms administration (Artsy, Artnet, Ocula), uploading artwork and fielding enquiries.
• Assist Sales and Exhibitions department with ad hoc projects
• Ensure concur and all expenses are reconciled on a monthly basis
• Front Desk cover at all gallery Private Views and support for/attendance at other gallery events as required
• Acting as the main point of contact, plan and coordinate invigilator rota ensuring any issues are appropriately dealt with
• Liaising with other front desk staff and other key colleagues
• Complete appropriate research and produce artist information packs to prepare and educate invigilators for each new exhibition
• Other general ad hoc project support and research work as required

Key knowledge, experience and skills required;
• Experience working in a commercial art gallery
• Experience working in a FOH role in a blue chip gallery would be ideal
• Excellent customer & client facing experience
• Passion for and strong knowledge of contemporary art
• Excellent inter-personal skills balanced with professionalism and diplomacy
• A calm and friendly manner, especially when under pressure
• Ability to work autonomously, using own initiative, organisation and prioritisation skills
• Strong attention to detail
• High level of IT skills: Microsoft Office, working knowledge of art Database(s), Mac literate.

The position is Full Time, Tuesday – Saturdays.
Salary: DOE up to 25K + benefits
Permanent contract which could be extended
