Our client is an exciting Contemporary Art Gallery that recently opened a second space in London. They are looking for a highly organised Assistant Registrar to support the Gallery Manager.


  • Updating the storage inventory (Art Logic) of all stock movements
  • Keeping the gallery database correctly maintained to a high professional standard
  • Updating the gallery TA Waiver and ensuring all the correct customs documentation has been saved and filed correctly
  • Liaise directly with shipping agents and clients on sales shipments including sourcing estimates, running the shipment to completion at a professional standard befitting the gallery
  • Managing the Gallery inventory across Gallery spaces and storage agents, including respective customs statuses
  • Liaising with the exhibition team and gallery technicians on specific needs of each exhibition/art fair
  • Assisting with stock checks, labeling, archiving, filing and insurance
  • Producing agreements for loans and consignments and logging return dates as well as updating exhibition provenance
  • Managing Artist returns and Artist requests on all shipping and inventory matters
  • Logging all shipping and exhibition costs for exhibitions and art fairs in respective budgets
  • Assisting in the production, sending, and logging of certificates of authenticity
  • Supporting the Directors, sales team, and Artist Liaisons on various projects and upcoming exhibitions where necessary, including production and framing
  • Supporting the Gallery Manager with preparations for exhibition changes in the gallery and art fairs where necessary
  • Managing the stock room and artist storage to a professional standard befitting the gallery’s presence
  • Helping with the general maintenance and appearance of the gallery
  • Providing out of hours support on exhibition openings (6pm-8:30pm) and providing the occasional Saturday cover
  • Providing assistance to the Gallery Manager on administrative and operational matters pertaining to the Gallery

Candidate Specifications:

  • High degree of organization
  • Experience working with a commercial art gallery
  • Familiarity with art shipping and handling best practices
  • Excellent communication skills
  • Experience with Art Logic
  • Strong time management and prioritisation skills
  • Great attention to detail
  • Ability to liaise with shipping agents and clients professionally
  • Ability to provide excellent administrative support
