About the role

In response to a growing exhibition programme in the gallery space and beyond, our client is seeking to hire a Gallery Manager. This is a diverse role with core responsibilities including shipping, invoicing and database duties and sales administration. The successful candidate will be responsible for managing the day-to-day running of the gallery. They will work alongside the Gallery Director, Head of Exhibitions and Gallery Assistant, and will regularly liaise with artists’ studios and clients. 

This position is well suited for a driven individual with experience working on ambitious projects in a small team, who is well organised and motivated to work in the arts. There is scope for the right person to grow within the team and for the role to eventually include, for example, travel to fairs, support across the team, and artist projects. This is a managerial role and thus the ideal candidate will have at least two years of experience working in a similar role with a proven focus on logistics and sales administration.

 

Duties & Responsibilities

  • Responsible for all registrarial tasks within the gallery. This includes but is not limited to: managing the Artlogic database; organising artwork logistics, domestic and international shipments; and maintaining records of artwork storage.
  • Managing the gallery’s TA account.
  • Responsible for managing all pre- and post-sale administration, including creating sales documents, overseeing artist commission invoicing, maintaining client information via Artlogic, taking minutes during sales meetings, and liaising with clients to organise shipping.
  • Overseeing the gallery’s consignment and loan agreements alongside the Head of Exhibitions.
  • Assisting the Head of Exhibitions with gallery and external exhibitions, including assisting with the coordination of installation and de-installation of exhibitions; sourcing materials; booking and liaising with contractors; art fair logistics; handling artworks and carrying out condition reports.
  • Responsible for managing the gallery’s building maintenance.
  • Overseeing the gallery’s storage locations and looking after the insurance.
  • Managing our in-house technicians, allocating client and gallery-related tasks.
  • Arranging artwork photography, framing, and artwork restorations alongside the Head of Exhibitions and Gallery Assistant.
  • Responsible for processing invoices and commission invoices, handling the supplier payment run, credit card management and liaising with the gallery’s accountant and bookkeeper.
  • Responsible for ensuring front and back of house areas are clean and organised with supplies and materials and managing the day-to-day running of the gallery.
  • Providing a warm welcome to gallery visitors which includes having advanced knowledge of the gallery programme and confidently answering visitor questions.
  • From time to time, as agreed with the Head of Exhibitions and Director, liaising with artists on specific projects, supporting with art fairs, supporting with gallery events, and any other responsibilities as reasonably expected within the day-to-day running of the gallery.

 

Skills & Experience Required

  • Exceptional organisational skills
  • Great attention to detail
  • Excellent command of the English language and strong numerical skills
  • Excellent computer skills including proficiency in Artlogic, Google Workspace, Hubdoc and Xero.
  • Ability to be proactive and manage multiple deadlines
  • Strong and clear communicator, able to work maturely within a team environment as well as independently
  • Previous experience in a registrarial role
  • Experience condition reporting artworks
  • Interest in contemporary art
  • At least two years’ work experience in an arts or office environment
  • Previous experience using Articheck (Desirable)
  • Previous work experience in a commercial gallery or auction house (Desirable)
  • Previous experience working in a small team (Desirable)

Location: London

Terms: Part-time, position with immediate start. Monday – Thursday (9:45am – 6pm) with one working Saturday per month*, and with occasional evening work. *During a week where the Gallery Manager works on a Saturday, Monday will be taken off in lieu. All working weeks are 4 days.

Salary: £37,500–40,000 per annum (pro rata £30,000–32,000 for four days a week
