About:
Our client is a major Contemporary Gallery in London. They are looking for a professional and flexible Administrator to support the Executive Assistant in managing the Owner’s day-to-day.
Responsibilities:
- Work closely with the Executive Assistant in an administrative role
- Produce tailored itineraries and carry out preparatory research for upcoming trips
- Monthly posting and reconciliation for expenses, credit cards, and petty cash
- Assist with range of emails and correspondence including post and deliveries
- In collaboration with gallery colleagues, ensure the Owner and Executive Assistant are updated on artist news and upcoming projects
- Responsible for updating and managing the diary by ensuring all the gallery’s artist external events and key art events (PVs, auctions, art fairs, biennales, etc.) are noted
- Liaise with sales team to research and monitor art world clash sheet
- Review and update Salesforce contacts
- Assist in researching artists and support the management of existing relationships
- Coordinate effectively to ensure seamless link up of both gallery and personal diaries
- Provide remote support when the Owner and Executive Assistant are travelling/away from the gallery
- Liaise with art project activities as requested
- Additional ad hoc tasks
Candidate Specifications:
- Excellent attention to detail
- Strong written and verbal communication skills
- Articulate, well presented and discrete
- Good knowledge of the contemporary art market
- Highly organized and efficient
- Flexible approach
- Ability to manage a busy workload and stay calm under pressure
- Strong IT skills
- Previous art world administrative experience
Location: London, home working available with prior agreement. Some travel required.
