Our client is seeking a highly capable and composed Executive Assistant to support the Founder in managing her time, priorities, and communications across multiple fast-moving projects. This is a key role for someone who excels at navigating complexity with calm, clarity, and precision.
Role Overview
As Executive Assistant to the Founder, you’ll be responsible for ensuring her schedule, inbox, and daily priorities are managed seamlessly. You’ll act as a trusted gatekeeper and key point of coordination — enabling the Founder to focus her energy where it matters most, while maintaining clarity and control across her varied responsibilities.
This is a role for someone confident in handling sensitive information, experienced in high-level executive support, and excited to work in a culturally engaged, fast-paced environment.

Key Responsibilities:-
Operations & Administration
- Provide high-level EA support to the Founder, managing her inbox, diary, and daily workflow to ensure priorities are actioned with clarity and discretion.
- Act as gatekeeper and timekeeper — regularly reviewing the Founder’s schedule,planning ahead for meetings and events, and protecting space for strategic work.
- Coordinate all logistics for meetings and appointments, including prep materials, briefings, room bookings, and timely follow-ups.
- Support the Founder with light personal admin where appropriate (e.g. travel logistics, event RSVPs, wardrobe coordination).
- Maintain digital filing systems and SharePoint folders to ensure quick access to key materials across projects and clients.
- Support coordination of internal team meetings and check-ins, including agenda planning and reminders.
- Track outstanding actions and ensure key internal and external deadlines are flagged in advance.
Community & CRM
- Maintain and update a central contact list of high-value cultural and business stakeholders for the Founder’s use.
- Track key relationship details (e.g. birthdays, job changes, personal preferences) to support personalised communications.
- Draft, send, and follow up on key correspondence on the Founder’s behalf, ensuring timely and appropriate engagement.
- Prepare guest lists and briefing notes (face sheets) for events and high-level meetings.
- Coordinate polite and professional post-event communications, including follow-ups, thank-you notes, and sharing of photography assets.
Events & Cultural Programming
- Manage the Founder’s RSVPs and attendance for industry events — aligning invitations with availability and strategic relevance.
- Provide logistical and diary support around event attendance, including travel plans and prep materials.
- Ensure all events in the Founder’s calendar are tracked against wider business priorities and project goals.
Team & Brand Representation
- Attend cultural events as required to support the Founder and represent the brand with professionalism and warmth.
- Assist in identifying key individuals and opportunities aligned with the Founder’s strategic vision, flagging introductions and leads to the Founder.
Required Experience
- 3+ years in an Executive Assistant, Personal Assistant or similar support role — ideally in a creative, cultural or media environment.
- Demonstrated experience managing senior inboxes, diaries, and stakeholder communication.
- High level of proficiency in Microsoft Outlook, Excel, and digital document management systems.
- Familiarity with cultural institutions, luxury networks or creative ecosystems is a strong advantage.
