Our client is looking for a Shipping Coordinator to support the Shipping Department and contribute to the departmental strategy by striving to achieve operational objectives and personal goals.
Responsibilities include:
- Shipping coordination and scheduling: arranging safe transport, including delivery and installation of artwork in good time, working to tight deadlines.
- Processing and filing TA & Bond data with HMRC.
- Running and maintaining regular reports to track TA & Bond data, for future audits.
- Overseeing crating, art-handling, and packing in fine art Warehouse.
- Maintaining all necessary paperwork and files; ensuring the Gallery database is updated with all Shipping, customs, and transport information.
- Liaising with UK & international Shipping agents to obtain estimates, shipping schedules, import and export formalities, deliveries, and installation of sold artworks.
- Understanding and adhering to strict UK and international customs regulations regarding the import and export of fine art.
- Obtaining documentation such as Export Licenses, ATA Carnets, Power of Attorney forms when necessary.
- Process and update locations of artwork according to hands-on information; from release and receiving paperwork.
- Managing and controlling shipping budgets, including processing invoices and understanding cashflow.
Essential Qualities:
- Strong administration, organisational, and professional communication skills.
- Experience in international shipping procedures, UK and EU Customs procedures and
regulations, and strong knowledge of contemporary art preferred but not essential.
- Good numerical skills.
- Excellent record-keeping skills, with a razor-sharp eye for detail.
- Ability to handle a high level of volume and complexity with speed and accuracy.
- Positive outlook to changing requirements; resilient and solutions-focused.
- Proactive at all times.
- Team player with the ability to ‘think outside the box.
- Good knowledge of Office 365.
